GENERAL TERMS & CONDITIONS and CANCELLATION POLICY

By accessing, browsing, using and/or completing a reservation through our (mobile) website or private tailor made service you acknowledge and agree to have read, understood and agreed to be legally bound to the terms and conditions set out below.

Visit Travel Iceland (Visit.is) is a tour operator, offering a wide range of tours and activities in Iceland.

Bookings can be made directly through Visit.is, its sub-brands and/or any other website through which Visit Travel Iceland makes their services available. If you are having any problems booking through www.visit.is website then please contact our customer care at visit@visit.is

Visit Travel Iceland reserves the right to alter itineraries and/or timetables should it be necessary, due to adverse weather and or other related conditions.  Visit Travel Iceland is not responsible for expenses and/or other related costs due to factors outside of its control, such as flight delays, changes and or cancellations, injuries, weather, war, natural disasters etc. and/or other unforeseeable matters. You are responsible for providing Visit Travel Iceland with the correct contact information and related details so that we can keep you informed in the event of changes made to the services booked.

TERMS OF PAYMENT

All bookings made online through Visit.is website or in person by contacting our Personal Service and travel consultants require to be paid in full at the time of booking confirmation (unless differently specified). All our prices are charged in USD, EUR or ISK.

Visit Travel Iceland accepts all major credit and debit cards. To be able to proceed to payment you will receive a payment link operated by a third company Borgun.is/SaltPay.

For bigger amounts you can pay through bank transfer in Icelandic Kronur, US Dollars or Euros.

We reserve the right to increase prices already quoted or published without notice in the event of a currency fluctuation, government taxes, or any other cost increase that are beyond the control of Visit Travel Iceland.

PLEASE BRING YOUR VOUCHER

After your booking is confirmed, you will receive an e-mail or Travel Plan with the details of your booking and services purchased and Booking Vouchers (as PDF document). Please print this document and keep it with you as this will be your proof of payment and a voucher during your visit in Iceland.

Please check all details on your confirmation carefully to ensure they are exactly as you requested. In the event of discrepancy, please let us know immediately by sending an email to info@visit.is as it may not be possible to change your booking at a later stage.

TOURS & ACTIVITIES OPERATED BY OUR ASSOCIATES

Visit Travel Iceland is a fully licensed booking office and tour operator and only works with fully licensed associates and tour operators who have been issued an operating license by the Icelandic Tourist Board.

When making payment after booking a tour or activity on our website www.visit.is or with our Travel Consultants, you will receive confirmation by email with necessary information about the operator of the tour. When booked tours or activities are operated by any of our associates, participant(s) undertake the responsibility to read and familiarize themselves with the terms and conditions of the operator of the tour and accept them accordingly. If by any reason, not all of the terms of the operator are acceptable to participant, then please inform us at your earliest convenience, in any case no later than 24 hours after making the booking by sending an email to info@visit.is  

COMPLAINTS

If, for any reason, you are not satisfied with the service provided by any of our associates, please bring this to the attention of the operator during your event as you can be assured that they share our values of customer service and are as committed as we are to provide excellent services. Please therefore give them the chance to respond to your complaint during your stay. If your complaint cannot be resolved locally, please contact us within 30 days of your departure at visit@visit.is should you wish to pursue your complaint with Visit Travel Iceland ehf.

CANCELLATION – BY VISIT TRAVEL ICELAND OR ASSOCIATES

Visit Travel Iceland and its associates reserve the right to cancel or alter tours, their content, routes, itineraries or timetables, should the necessity arise, based on availability, demand, weather or logistical concerns, or due to safety considerations. This may occur with little to no notice to the participant however Visit Travel Iceland and associates are committed in communicating any changes to scheduled activities at the earliest possible time. We do our upmost to find the best solution for any changes or cancellations in activities and may offer alternative tours or activities if possible.

CANCELLATION OF PARTNER TOURS:

Tours operated by trusted partners, as marked in the booking process, are subject to the partners‘cancellation terms. The terms will be stated on the ticket after purchase.

CANCELLATION – BY PARTICIPANT(S)

All cancellations must be made in writing and send by email to info@visit.is or please call +354 419 1600. For emergency and last minute calls +354 625 75 75

In order to cover expenses and costs that may occur by booking with us and in conformity with business practices within the Icelandic travel industry, Visit Travel Iceland reserves the right to charge cancellation fees to participant(s) as follows:

DAY TRIPS & ACTIVITIES – INDIVIDUALS (1 to 9 persons)

The following cancellation charges may apply when a day trip or activity has been booked with Visit Travel Iceland, based on time of cancellation:

More than 72 hours prior to arrival:       0%

Between 48 and 72 hours                         20%

Less than 48 hours:                                   100%

Changing the number of people in a booking to a smaller number is considered cancellation for the change in number of participants. Such cancellations are subject to cancellation fees as per the above.

As we start to incur costs from the time the contract is confirmed we will apply cancellation charges as shown above from the time when written notification of the cancellation is received:

PACKEGE TOURS, MULTI DAY TOURS, DAY TRIPS & ACTIVITIES for GROUPS (10+ people or more)

The following cancellation charges may apply when a package tour has been booked, based on time of cancellation: ·

More than 60 days prior to arrival:         20%

Between 30 and 59 days                           30%

Between 15 and 29 days:                          50%

Between 8 and 14 days:                            70%

Less than 7 days:                                      100%

In some cases cancellation policies can be more flexible when you are booking a tour operated entirely by Visit Travel Iceland or operated by any of our associates. Therefore we highly recommend that you contact us by sending an email to info@visit.is to check if singular tours offer a more flexible cancellation policy than stated above is applicable, in the unfortunate case that you need to cancel with short notice.

REFUNDS

Tours purchased on www.visit.is or through our Travel Consultants will be subjective to the cancellation policy above. If you cancel less than that period of time before a tour or activity, no refunds are available. If you have right to a refund, that will be made to the same credit card used for the payment or bank account.

For tours purchased through travel agencies or third parties, please take your original voucher to the travel agency and ask for your refund after reconfirmation the tour cancellation with our office. 

In case a full tour refund is agreed on behalf of Visit Travel Iceland or its associates for what purchased through them, no refund is anyway granted related to extra expenses or costs not purchased through Visit Travel Iceland or its partners, as for instance food and beverage, transportation expenses paid to reach or leave the tour pick up, point of start or end (airplane fares, train, bus car fares, toll fee or any transportation cost) or any extra cost not included in the tour purchased.

Sightings of the Northern Lights are never guaranteed. Please note a refund is not possible once the tour is provided, but re-tries to see them are available.

INSURANCE

As with any and all world travel, we strongly recommend that you purchase a travel insurance policy in your home country that covers your cost should you have to cancel your travel reservation with short notice. This kind of travel insurance is not expensive and frequently covers other risks. Having travel insurance is always a good idea when traveling around the world.

Visit Travel Iceland offers a wide range of trips & activities in Iceland at various activity levels. When on a Tour operated by a third party, it is the final Operator Incurance Cover responding for accidents.

Therefore, we urge all our customers to purchase adequate travel insurance in your home country before traveling. Unfortunately, Visit Travel Iceland cannot accept liability for any injury or cost for you or any of your travel party that may incur as a result of failing to take out insurance cover. It is the participant’s responsibility to ensure that the insurance cover includes the type of activity purchased.

ASSUMED RISK & OUTDOOR ACTIVITIES

HEALTH AND SAFETY REQUIREMENTS

Guests/Clients are advised that all activities are undertaken entirely at their own risk and they must behave in a fit and proper manner at all times in accordance with Visit Travel Iceland or its partners’ guidelines and must take proper responsibility for their own safety. All adventure tours and outdoor activities carry inherent risks of injury and possible death which cannot be eliminated. Although we do our best to reduce risk to an acceptable level, accidents can always occur. When booking with Visit Travel Iceland  you agree to abide by instructions and decisions made by the tour guide(s) or operator regarding the safety of individuals and/or a group. All participants agree to receive medical treatment administered by the guide/operator or other team members in case of accidents or illnesses whilst evacuation plans are put into effect. Some activities require at least an average level of fitness and good health. It is the participant’s responsibility to ensure that they obtain proper training and medical advice with regard to the planned activity.

Visit Travel Iceland or its partners do not assume any responsibility for accidents that are caused by its customers or can be traced to their own actions or are caused by factors outside of human control (Force majeure).

With the purchase of your trip you agree to these conditions, understand its implications and accept responsibility for your participation in your trip. Depending on the excursion, you may be requested to sign an additional liability release.

Our guides or partner’s guides reserve the right to refuse participation to any customer who they believe will not be able to complete the tour because of their physical condition, injury or illness. In such cases, full charges apply and no refund is possible.

We reserve the right to refuse participation to clients that are being physically or verbally abusive, or if they pose a threat to staff members or fellow travelers in any other way. In such cases, full cancellation charges apply.

ALCOHOL AND DRUGS:

We reserve the right to refuse participation to clients we believe are under the influence of alcohol or drugs, in such circumstances, no refund shall be given. Our guides reserve the right to refuse participation to any customer whose conduct or manner is likely to cause offense, upset or put other passengers in danger. In such cases, full cancellation charges apply.

CLOTHING

Appropriate footwear and suitable outdoor clothing must be worn. We reserve the right to refuse participation to customers who are dressed inappropriately or with inappropriate footwear since this will put the client’s well-being and safety at risk. In such cases, full cancellation charges apply.

PERSONAL BELONGINGS

Personal belongings are entirely at the own risk of the participant(s) and neither Visit Travel Iceland nor associates hold any liability for possible loss or damage that can occur.

LUGGAGE

Please note that Visit Travel Iceland or its associated cannot be held responsible for damaged or lost luggage.

Visit.is takes no responsibility for errors or omissions in the content of the website, and makes no commitment to update such information. All information on our website is subject to change though. GOVERNING LAW AND JURISDICTION

This agreement shall be exclusively governed by and construed in accordance with Icelandic law.

Any disputes arising out or in connection with this agreement shall exclusively be submitted to and dealt with by the district court of Reykjavík.

CAR RENTAL – TERMS AND CONDITIONS

This applies to the rental cars that are included in Self Drive packages, Tailor Made Private Tours, and direct rentals. 

Rental Contracts are exclusively entered into at branch locations of the car rental company, its affiliates or their respective franchisees.
